Introduction During the Christmas, many individuals normally get together to commemorate the birth of Jesus a common tradition for Christians). Itis usually a festive season and many families of Christian origin use this time to get together or as a purpose to celebrate. Whichever the reason of getting together, it surely is a festival season and people are in the party mood at this time of the year. UKCCA as a centre for hosting carnivals and parties would like to cash in to this major party season and reduce the problem o f underutilized capacity at the centre. This would mean developing some unique attraction ideas that would make the attendance to the facility grow to the required size during this period. Party ideas Some of the ideas that have been brought forward for consideration by the centre for hosting during the Christmas period are as follows. A comedy evening that includes inviting some of the finest comedians in the industry to perform at the centre and for which the attendants will foot the cost of hiring the venue and comedians. A dance night which will include the invitation of special performing artists to be paid for by the revelers. A couples night out which will involve a special dinner session and entertainment by renowned artists at the end. Family theme days out that include a whole day of fun activities for all the members of the family and entertainment by special artists and a picnic. A couple’s retreat session that will involve fun filled couple activities for the couples to last at least three days. All the activities listed above are potential fun filled activities that can be a good source of relaxation and the students that the communities living near the centre could engage in. the centre needs to clearly plan for the activity chosen and the target group of customers so that it achieves success in hosting any of the events. Chosen idea and justification During this time the centre will host a couple’s night out and a special dinner party. The party should include a special dance session at the end which will be a performance by an artist to be decided upon by the organizing committee. The party whose main attraction group should be young couples who do not get the chance to go out during the year, should include themes that attract the young couples especially in collage and those that have just left collage. This group is targeted because they do not get the chance to go out often due to schooling commitments or work and at this festive time they would consider an outing. The dinner will include a meal preferably a buffet served at the restaurant. The guests who will have specific preferences will be allowed to send in their requests in time to facilitate earlier preparation. At the end of the dinner, a music band will entertain the guests and a dance will be in order to conclude the function. Costs The party will include costs for hiring the venue in order to host the event. An ample seating space for the guests and parking should the visitors need the same. The seating allowance at each table will be as indicated by the management of the centre. The costs at each table will be at normal charges and the payment of the Disk jokey and the performing artist will be catered for by the event crew. In addition, more ushering staff will also be hired by the organizing committee. For the entire plan of financing the whole party, kindly see the table annexed in this report. The standard cost include; the cost for hiring the venue and the cost of serving a buffet. The variable costs will be promotion costs and the cost for hiring a performing artist at this time of the year. Food The foods for the buffet will not have any major cost on the entire costing of the party. This means that since the food is a part of the menu offered at the centre, it will be easily availed by the centre at its standard cost. The breakdown for the cost of food has been reflected in the appendix 2 which is a table of the items to be used as food. Promotion In order to make the event more successful, there is need to stage the event as a major function of the year for the group that it wishes to attract. A rigorous advertisement exercise needs to be undertaken by the organizing committee in order to popularize the event. The advertisement campaign will include social media as the primary publicity idea. Other advertisement options will include the use of banners, and posters and party agents to provide publicity for the event to the required group of individuals. Break even analysis Considering the costs incurred by the undertaking the project of initiating or hosting the party, the number of revelers will have to reach at least 300 in order to offset the costs that have been incurred by the team in procuring the basic services required for the party. As the party is a couple’s night out, the charge on individual will be paid for jointly in a ticket for two persons. Any persons who wish to attend the party as single individual will pay half the price of the ticket. The entire break even analysis is given as an index to this report with graphs and tables in the form of excel document. Recommendations This themed party is a well designed and thought out idea for consideration by the centre. The target group and the marketing procedure will fit the audience for the party. The motivating idea for the party is that the targeted groups of young couples who are in collage do not get a chance to take out their loved ones during the year. As such the party offers a chance for them to go out at least once before the end of the year. As indicated in the report the promotion costs for the same event will be easy and simple due to the nature of the client targeted.
